The first thing you should know about Christmas party planning is that it's never too early to start. We all know how quickly Christmas can creep up on us and planning a party is no mean feat, so it's best to give yourself as much time as possible to get all your ducks (or turkeys) in a row.
As chief party planner, it’s your job to make sure every detail is thought of. From curating the perfect cheesy Christmas playlist to getting the seating plan just right, there’s a whole host of tick boxes to check off. Don't worry, though, our step-by-step guide to planning a Christmas party will make your festive season feel like a walk in the park - or better yet, a sleigh ride through the snow.
From decor and entertainment to food and drinks, there's plenty to think about when planning a Christmas party. To help you avoid a last-minute festive frenzy, we recommend following a simple timeline. By getting the essentials organised months in advance, you can avoid cramming everything into the final few weeks – because, let's be honest, that's when you'd much rather be relaxing in the pub with a glass of mulled wine.
Perhaps you want to design a festive party rooted in seasonal traditions, with guests gathered around a glistening Christmas turkey and crackers pulled with crossed arms. Maybe the occasion calls for something a little more light-hearted - we’re thinking of silly Christmas games, ugly sweater competitions and a Secret Santa filled with inside jokes. If you’re hosting a large-scale office-wide festive bash, you’ll probably want to go all out with live entertainment, multi-course meals and cocktails on arrival, while a more intimate family gathering may call for a cosy, fireside setting with personal touches.
There are no hard and fast rules to perfecting a Yuletide party, but there are definitely some key things to consider. Our guide to planning a Christmas party has everything you need in one place, from tips on budgeting to ideas for themed dress codes. Thank us later - with a festive tipple or two.

At SUSHISAMBA Heron Tower, a giant dining area boasts space for up to 160 guests seated or up to 470 standing guests, when spread across two floors
Six months worth of party planning might sound a little extreme, but hear us out. For big, extravagant Christmas parties, it's a good idea to start thinking about the logistics between three and six months in advance, particularly if you have your heart set on a certain venue or a specific date you want to lock down. Popular venues start to get booked up in July, and with only a handful of weekends in December, there are even fewer party places to go around. Nailing down some of the basics will ensure that someone else doesn't take your top choice, and will take a real weight off your shoulders further down the line.
At this stage, the key things to consider are your budget, date and venue. Having an idea of how much you want to spend will inform every other decision, and landing on a date will give your guests as much notice as possible. Then, start exploring Christmas party venues and enquiring about your preferred option. If you really want to score some party planning points, now is also a good time to decide on a theme (we have a guide to the best Christmas party themes) and to put together your guest list.
Must-dos:
- Set your budget
- Choose a date
- Book your venue (particularly if it's a large-scale occasion)

- Decide on a theme

Now, it's time for the fun stuff. Put your artistic skills to the test and get creative with designing your party invitations. If you want to make your Christmas party more sustainable, consider sending paperless invites - there are loads of great, hassle-free invitation websites to choose from. Make sure you've got all the key details included (date, time and location) and you might also want to add some helpful information, such as directions and plus-one policies.
Perhaps the most exciting element of a party is the food. Some party venues have in-house kitchens or preferred suppliers, while others give you a bit more flexibility to arrange your own catering. We think classic festive flavours go down a treat at Christmas time, but there's nothing wrong with going a bit off-piste too - pizza party, anyone?
Top tip: this is a good time to check whether your guests have any dietary requirements!
Finally, if you're thinking of booking some form of live entertainment, now's your chance. From Christmas carollers and live bands to magicians and tarot card readers, entertainers of any kind are always a great addition to a festive do. Some venues have entertainment included, or you could organise your own (which can also help keep the costs down) with activities such as a Christmas-themed quiz, a murder mystery dinner, bingo with festive prizes, or a festive craft station.
Must-dos:
- Send out invitations
- Arrange catering
- Book entertainment

- Hire equipment
- Purchase decorations

For a food-forward Christmas party, Bentley's has a gorgeous private dining space with guests seated around one long banquet table and surrounded by Christmas decorations
The countdown is on! At this stage, you should feel like the bulk of the planning is complete, but there are still a few things to iron out. Now that you have your final guest list, it's time to arrange the seating plan, if you're hosting a sit-down dinner, that is. If you're planning a more casual arrangement - perhaps cocktails and canapes - feel free to skip this step and move on to purchasing party favours, gifts and prizes. You may not need all of these, but there will more than likely be a few bits and bobs you need to order. We're thinking last-minute decorations, photo booth props, place cards and personalised signage. Don't hang about - you don't want to be waiting around for the postman on party day.
Feeling festive? You're going to love putting together the perfect festive party playlist. Whether you're ready to belt out Mariah Carey or dance around to Last Christmas by Wham!, a playlist packed with cheesy Christmas tunes is an essential feature of a great party.
Must-dos:
- Finalise the seating plan
- Purchase party favours, gifts and prizes
